Description:
Gray, through its self-perform arm NexGen Contracting, is seeking a detail-oriented and proactive Timekeeping Administrator to join our team. The role is essential in ensuring accurate and efficient payroll processing, workforce management, and compliance with company policies. Bilingual Spanish-speaking candidates are highly preferred.
Key Responsibilities:
• Lead weekly and biweekly reconciliation of timecards and monitor clock-in/out activity for craft hourly employees.
• Coordinate data entry for new hires, rehires, terminations, rate changes, and other HR updates to ensure timely payroll processing.
• Enter and process per diem in CMiC, verifying accuracy of uploaded information.
• Review payroll reports for errors and make necessary corrections.
• Assist with timely filing of payroll-related taxes and process check adjustments, shortages, and garnishments.
• Verify and enter vacation, sick, and holiday pay; support payroll for NexGen employees and third-party personnel.
• Resolve discrepancies in craft timecards with project approvers.
• Process weekly craft payroll, including running reports, managing rate changes, and handling per diem requests.
• Process terminations in UKG Pro, ensuring proper documentation and compliance, and escalate risks to HR Manager.
• Maintain confidentiality of payroll records and sensitive employee information.
• Perform additional duties including unemployment claims, employment verifications, and child support processing.
Requirements:
• High School Diploma or GED with at least 2 years of experience in payroll or timekeeping.
• Proficiency with payroll software and Microsoft Office Suite; experience with SmartBarrel, CMiC, and E-Time preferred.
• Excellent analytical, problem-solving, and organizational skills.
• Strong attention to detail, ability to multitask, and maintain confidentiality.
• Knowledge of state and federal labor laws is a plus.
• Strong communication and customer service skills; ability to work effectively in a team environment.
• Capable of performing basic mathematical calculations and presenting information clearly.
Physical Demands & Work Environment:
• Frequent standing, walking, sitting, using hands, reaching, talking, or hearing.
• Occasional climbing, balancing, stooping, kneeling, crouching, and lifting up to 50 pounds.
• Normal office environment with controlled noise, temperature, and humidity.
• Overtime may be required.
