Full-Time | Department: Operations / Facilities
Reporting to: Business Head
We’re looking for a Technical Administrator to support our day-to-day technical operations across Jointly Owned Properties (JOPs). The ideal candidate will ensure smooth coordination between departments, vendors, and compliance authorities, with a strong focus on documentation, fit-out tracking, and customer service support.
Key Responsibilities
Technical Documentation & Reporting
- Maintain accurate PPM schedules, vendor reports, asset registers, and inspection logs
- Support technical reporting for OC and internal meetings
- Track technical issues and compile monthly reports
Statutory & Regulatory Compliance
- Monitor renewals for statutory requirements and ensure full compliance with Law No. 6 of 2019 and RERA
- Track AMC contracts, vendor licenses, insurances, and maintain audit readiness
Fit-Out Coordination & Monitoring
- Manage fit-out requests and ensure alignment with community guidelines
- Coordinate inspections, document approvals, and monitor execution
- -Conduct post-completion checks and process deposit release
Customer Service & Complaint Coordination
- Assist in handling technical complaints and service tickets
- Coordinate with internal teams to ensure timely resolution as per SLA
- Maintain records in Anacity and other internal systems
Vendor Coordination & Site Inspections
- Maintain vendor databases and validate compliance documents
- Conduct regular site inspections, prepare reports, and ensure work quality
- Support procurement with documentation and quotations
Administrative Support & Reporting
- Submit weekly/monthly reports on technical KPIs and performance
- Provide support to the site in-charge and attend OC meetings
Qualifications & Experience
- Diploma in Engineering or Facilities Management
- Minimum 2 years of experience in JOP, FM, or real estate technical admin roles
- Knowledge of Dubai regulatory bodies (RERA, DCD, Dubai Municipality) preferred
- Experience with CAFM systems like Anacity or Mollak is a plus
Skills & Competencies
- Strong coordination and documentation skills
- Understanding of building systems and property management processes
- Proficient in MS Office (Excel, Word, PowerPoint)
- Excellent communication and customer service orientation
