Description:
Databricks is seeking an experienced Sr. Executive Assistant to provide strategic and operational support to the Chief Operating Officer (COO). This role is designed for a highly organized professional who has experience supporting senior executives in fast-paced, global technology environments.
The successful candidate will act as a trusted partner to the COO by managing complex schedules, coordinating global travel, supporting strategic initiatives, and improving operational efficiency. The role requires strong communication skills, attention to detail, and the ability to manage multiple priorities while working with cross-functional teams.
Key Responsibilities:
• Manage and optimize the COO’s calendar, ensuring effective scheduling across multiple time zones.
• Prepare meeting agendas, AI-generated pre-reads, summaries, and supporting materials.
• Coordinate complex domestic and international travel arrangements.
• Use AI tools to improve administrative workflows, travel planning, and decision-making processes.
• Partner with internal teams to organize customer meetings and maximize business travel impact.
• Support strategic initiatives and track multiple workstreams across Engineering and Go-To-Market teams.
• Plan executive offsites, events, and team programs.
• Provide administrative support, including expense report preparation and executive coverage when required.
Requirements:
• Minimum 10+ years of executive administrative and/or program management experience.
• Experience supporting C-Suite executives in global software or technology organizations.
• Proven experience managing global travel logistics for senior executives.
• Experience working with VPs/SVPs leading large technical teams.
• Familiarity with high-growth and rapidly scaling companies.
• Strong knowledge of:
• Google Calendar and Gmail tools.
• AI tools for administrative automation and travel planning.
• Executive scheduling and stakeholder management.
• Business data analysis and strategic reporting.
• Exceptional organizational skills with strong attention to detail.
• Excellent written and verbal communication skills.
