Sr. Executive Assistant – United States

We are seeking a highly skilled Sr. Executive Assistant to support the Chief Operating Officer (COO) and VPs of Operations. This role is crucial for ensuring smooth organizational functioning and requires strategic thinking, project management skills, and the ability to handle complex administrative tasks. The ideal candidate will assist in process improvement, scheduling, team coordination, and preparing materials for leadership meetings while acting as a partner to the operations team.

Responsibilities:

ESSENTIAL FUNCTIONS

  • Serve as a key support to the COO and VPs of Operations, improving organizational efficiency and aligning goals with critical business priorities.
  • Manage scheduling for operations leaders and other executives as needed.
  • Lead cross-functional projects, overseeing work streams, timelines, and project outcomes.
  • Prepare professional materials for meetings and presentations, including research and program development.
  • Act as liaison between the Physician Board and Operations Leadership, ensuring timely access to leaders and materials.
  • Handle inquiries from internal and external stakeholders, including physicians.
  • Coordinate conferences, including vendor and venue arrangements.
  • Maintain contact lists to provide context for communications and meetings.
  • Implement process and continuous improvement initiatives, integrating efficiencies into daily workflows.
  • Keep operations leaders organized and on track, providing real-time updates.
  • Manage calendars, schedule meetings, coordinate travel, and prioritize events with sound judgment.
  • Perform administrative tasks such as expense reporting, agenda creation, meeting coordination, document retention, invoice management, and IT liaison.
  • Complete compliance training and adhere to company policies.
  • Perform additional duties as assigned.

Qualifications:

  • Bachelor’s degree required.
  • 7+ years supporting C-suite or Senior Leaders.
  • Proficient in MS Office (Excel, Word, PowerPoint, Outlook) and Adobe; advanced PowerPoint skills preferred.
  • Experience handling sensitive materials and maintaining confidentiality.
  • Strong organizational skills with attention to detail.
  • Ability to manage multiple priorities and projects in a fast-paced environment.
  • Proactive, solution-oriented, and self-motivated with excellent communication skills.
  • Ability to travel occasionally in-state and out-of-state.
  • Strong financial acumen, including expense review and basic spreadsheet preparation.

  • Remote work flexibility with preference for Eastern or Central time zones.
  • Communicate effectively in multi-office, multi-state settings.
  • Efficiently operate standard office equipment and video conferencing tools.

Compensation & Benefits:

  • Base pay range: $120,000-$140,000 per year.
  • Eligible for annual incentive program.
  • Individual pay based on role, level, location, skills, experience, and education/certifications.
