Description:
Vander Weele Group is seeking a highly organized and mission-driven Special Assistant to the CEO to support executive operations, streamline communication, and protect leadership focus.
The ideal candidate should have strong writing, research, organizational, and analytical skills with the ability to manage high-priority communications, prepare executive materials, and coordinate strategic initiatives in a fast-paced remote environment.
This role requires exceptional attention to detail, confidentiality, and the ability to transform complex information into clear reports, presentations, and executive briefings.
Key Responsibilities:
• Monitor, organize, prioritize, and manage executive communications to support CEO efficiency.
• Prepare daily briefings by summarizing important updates and identifying urgent matters.
• Manage the CEO’s calendar, meetings, priorities, and long-term schedules.
• Prepare briefing documents, meeting agendas, stakeholder information, and background materials.
• Develop professional presentations, reports, and executive documents using Microsoft Office tools.
• Conduct research on industry trends, regulatory updates, competitors, and strategic opportunities.
• Download, organize, and analyze relevant data to support executive decision-making.
• Track company-wide initiatives and help improve operational workflows.
• Maintain confidentiality while handling sensitive executive and company information.
Requirements:
• 5–7 years of experience as a Special Assistant or Executive Assistant supporting a CEO, or experience in political staff work, journalism, press reporting, or related fields.
• Advanced proficiency in Microsoft Office, including PowerPoint, Word, and Excel.
• Exceptional written communication, proofreading, and content synthesis skills.
• Strong organizational abilities with the capacity to manage multiple priorities.
