Description:

Black Diamond Networks is actively hiring multiple Senior Project Administrators to support an extensive capital expenditure (CAPEX) initiative for a new pharmaceutical manufacturing facility. This is a fully remote opportunity based in the United States, ideal for professionals with a strong background in managing documentation, coordination, and workflows in fast-paced, regulated environments.

The contract is set to begin around August 18th or 25th, lasting 6+ months with potential extension up to 12 months. If you’re an experienced project administrator with a track record in pharmaceutical or biotech CAPEX programs, this could be a highly rewarding role.

Key Responsibilities:

  • Deliver advanced administrative support across multiple CAPEX workstreams
  • Manage documentation control, milestone tracking, and action item follow-ups
  • Organize and maintain project records, including vendor submittals, design documentation, and meeting notes
  • Schedule and support technical reviews, team meetings, and stakeholder coordination
  • Track deliverables, deadlines, and approvals using tools like Smartsheet, SharePoint, MS Teams, and Excel
  • Contribute to the creation and upkeep of dashboards, reports, and project timelines
  • Coordinate with cross-functional teams including engineering, procurement, and QA to ensure efficient workflows
  • Serve as a point of contact between internal leadership and external consultants, vendors, and design partners

Required Qualifications:

  • At least 10 years of experience in a project administration or coordination capacity
  • Familiarity with capital project workflows within GMP-regulated industries like pharma or biotech
  • Expertise using Microsoft Office Suite, SharePoint, Smartsheet, and other collaboration tools
  • Strong organizational and document management skills in high-volume environments
  • Excellent communicator, confident in engaging with multidisciplinary teams
  • Self-motivated and capable of working independently in a remote setup

Preferred Qualifications:

  • Previous work on pharmaceutical manufacturing projects (greenfield or expansions)
  • Experience handling engineering documentation like P&IDs, URS, and technical design packages
  • Strong understanding of cross-functional collaboration among engineering, construction, QA, and validation teams
