Description:


HireArt is seeking a highly skilled Senior Payroll and Billing Specialist to take end-to-end ownership of payroll processing and client invoicing within a high-volume, multi-state environment. This role supports approximately 3,000–4,000 recipients, with rapid growth expected in 2026. The position is critical to maintaining payroll accuracy, ensuring regulatory compliance, and delivering precise and timely client billing.

As payroll volumes and billing complexity increase, this role exists to strengthen controls between payroll and invoicing, helping to prevent discrepancies, reduce client disputes, and protect revenue margins.

Core Responsibilities:


• Process weekly, multi-state payroll using payroll systems while ensuring accuracy and on-time execution
• Prepare, generate, and validate weekly client invoices aligned directly with payroll data
• Reconcile payroll and billing records, identify discrepancies, and manage required corrections or adjustments
• Ensure compliance with federal, state, and local payroll regulations and escalate issues when necessary
• Respond promptly and thoroughly to employee and internal payroll-related inquiries
• Prepare and maintain detailed payroll and billing reports with audit-ready documentation
• Identify and implement workflow improvements to enhance efficiency, scalability, and accuracy
• Collaborate cross-functionally with Accounting and Operations teams to improve overall payroll and billing outcomes

Requirements:


• Minimum 5+ years of payroll and/or billing experience in high-volume environments
• Proven experience managing multi-state payroll populations
• Strong understanding of local, state, and federal payroll compliance requirements
• Hands-on experience with payroll reporting, reconciliations, and audit preparation
• High attention to detail with strong communication and problem-solving skills
• Advanced proficiency in Excel and/or Google Sheets
• Ability to collaborate effectively across teams and manage multiple priorities

Preferred Qualifications:


• Experience working with ADP Workforce Now
• Background in staffing, EOR, or PEO environments
