Description:
Kasa is seeking a detail-oriented and experienced Senior Payroll Analyst to join our Finance & Accounting team remotely. As a part of Kasa, a tech-enabled hotel and apartment hotel brand, you will ensure that payroll operations run smoothly, accurately, and in compliance with multiple jurisdictional requirements. You will be instrumental in supporting Kasa’s rapid growth across different locations while helping maintain employee satisfaction through timely and precise payroll processing.

Key Responsibilities:

  • Partner with the Payroll Specialist to process full-cycle payroll including deductions, bonuses, retro pay, and off-cycle adjustments; serve as backup during absences.
  • Maintain federal, state, and local payroll compliance, including tax registrations, filings, reconciliations, and responding to agency notices.
  • Manage state-specific leave programs, workers’ compensation, and bi-monthly 401k loan administration.
  • Support month-end close with payroll-related reports, accounting entries, cost allocations, and payroll reconciliations.
  • Ensure accurate onboarding of new hires in ADP with correct allocations and GL coding.
  • Conduct monthly payroll audits to verify pay registers, taxes, 401(k), overtime, holiday pay, and bonus tax rates.
  • Collaborate with People Operations to address employee payroll queries and ensure timely updates.
  • Advise People Operations on payroll best practices and partner with payroll providers.
  • Manage year-end payroll tasks including W-2s, financial audits, and 401k audits.
  • Identify and implement payroll process improvements, automation, and efficiency initiatives.

Required Attributes:

  • 3–5 years of full-cycle, multi-state payroll processing experience, preferably in high-growth or hospitality environments.
  • Strong knowledge of payroll compliance, including taxes, service charges, tip reporting, and leave laws.
  • Proficiency with ADP Workforce Now, Netsuite, Excel, and Google Suite, with ability to automate workflows.
  • Solid understanding of payroll accounting, reconciliations, accruals, and cost allocations.
  • Excellent analytical, problem-solving, and organizational skills, with attention to detail and ability to meet deadlines.
  • Ability to communicate payroll and accounting concepts clearly to both technical and non-technical teams.
  • Team player with a commitment to confidentiality, collaboration, and continuous improvement.
