Description:
Nucleus RadioPharma is seeking a highly experienced Senior Executive Assistant to provide strategic and operational support to the CTOO, CDO, their Leadership Team, and the Board of Directors. This role is ideal for a proactive professional capable of enhancing meeting effectiveness, streamlining operations, and supporting critical projects across the organization.
Key Responsibilities:
Executive & Leadership Team Support
- Deliver polished executive support to the CTOO, CDO, Leadership Team, and Board.
- Act as a professional gatekeeper and ambassador for executives.
- Prepare, refine, and deliver reports, presentations, and briefing materials for leadership, scientific, investor, and Board engagements.
Strategic Meetings & Communications
- Lead coordination and logistics for executive, Leadership Team, Board, scientific, and investor meetings, including agendas, pre-read materials, minute-taking, and follow-ups.
- Capture key insights, summarize discussions, and ensure accountability for action items.
Project Management & Process Improvement
- Manage cross-functional projects and track deliverables.
- Develop dashboards and tools for transparency and efficiency.
- Propose and implement process improvements across executive operations.
Calendar, Travel & Expense Management
- Manage complex executive calendars with precision.
- Plan and oversee domestic and international travel, including itineraries, accommodations, visas, and executive briefs.
- Handle expense reporting, procurement, and invoice reconciliation accurately.
Operations & Company Leadership
- Coordinate with vendors, consultants, and contractors.
- Support executive and team meetings, maintaining a professional environment.
Communication & Information Management
- Serve as the central hub for executive communications, triaging and summarizing emails and calls.
- Maintain accurate executive contact databases.
Confidentiality & Judgment
- Handle sensitive information with discretion.
- Make independent decisions under pressure to safeguard priorities.
Culture, Collaboration & Team Engagement
- Foster an inclusive, collaborative culture, supporting administrative colleagues and coordinating team-building activities.
Budget & Resource Stewardship
- Partner with executives on budget management and ensure high-quality outcomes within fiscal constraints.
Qualifications & Requirements:
- 15+ years’ experience supporting C-suite executives, preferably in biotech, life sciences, or healthcare.
- Proven track record managing complex projects and strategic initiatives.
- Advanced proficiency in Microsoft Office Suite; skilled in collaboration platforms and project management tools (Zoom, Teams, Slack, Asana, Notion, Smartsheets).
- Exceptional communication, organizational, and project management skills.
- Strong financial acumen and experience with budgeting, expense tracking, and vendor management.
- Trusted advisor with discretion, strategic thinking, and problem-solving skills.
- Flexibility for occasional travel (approx. quarterly) and ability to work across multiple time zones.
