Role Overview:
We are seeking a Senior Executive Assistant to support four members of our executive team. In this role, you will ensure that our leaders remain focused on key priorities by managing calendars, coordinating communication, and facilitating meetings, travel, and events efficiently. You will anticipate needs, streamline workflows, and help navigate competing requests.
Responsibilities:
• Manage end-to-end calendars for 3–4 executives, including prioritization, scheduling, buffers, and adjustments
• Attend select leadership and team meetings to capture notes, identify action items, and ensure follow-through
• Coordinate logistics for internal events, offsites, and external meetings, including agenda preparation, travel, and communications
• Triage emails, manage expense approvals, and handle follow-up tasks across executive workflows
• Partner with leaders to streamline intake and create repeatable processes for time management, priorities, and decision-making
• Act as a point of coordination across departments, particularly during fast-moving planning cycles or project launches
• Utilize AI tools for scheduling, summarizing, travel research, and explore new efficiency opportunities
Qualifications:
• Experience supporting senior executives in fast-paced, high-context environments, ideally in tech, VC, or PE-backed companies
• Ability to work with a variety of leadership styles, build trust quickly, and adapt approaches while maintaining organization and forward momentum
• Highly organized, detail-oriented, and proactive in keeping others accountable
• Solutions-oriented and system-thinking mindset
• Comfortable using and experimenting with AI tools to streamline repetitive workflows
• Strong follow-through and clear communication when priorities shift
• Preferred candidates based in Pacific Time (PT) zone
Within 3–6 months, you will:
• Fully own and prioritize executive calendars
• Manage logistics for major offsite or internal planning events
• Build systems to streamline intake, scheduling, and follow-up across the team
• Become an indispensable partner to executives
Compensation & Benefits:
• Starting salary: $125,000 USD (or equivalent based on experience)
