As a Senior Executive Assistant, you will provide high-level administrative support to the senior leadership team at Resonant Clinical Solutions, a company specializing in clinical trial and laboratory supply chain services. You will play a crucial role in ensuring seamless operations, managing schedules, coordinating meetings, coordinating projects, and handling confidential information with discretion.
This role plays an important role in supporting top-level executives by managing their administrative tasks, facilitating communication, and ensuring that strategic initiatives are executed effectively. This requires a unique blend of organizational skills, discretion, and the ability to work independently while supporting high-level decision-making processes.
Key Responsibilities
- Executive Support: Manage calendars, schedule meetings, take notes and action items during Board meetings; and coordinate travel arrangements for senior executives.
- Confidentiality & Compliance: Handle sensitive and confidential information and materials
- Communication Management: Draft correspondence, prepare reports, and facilitate internal and external communications.
- Meeting Preparation: Prepare materials for meetings, including agendas, presentations, and reports. This may involve conducting research and compiling data to support executive decision-making.
- Project Coordination: Assist in organizing projects, ensuring deadlines and deliverables are met.
- Event Planning: Organize leadership meetings, conferences, and company-wide events.
- Administrative Excellence: Maintain records, prepare presentations, and support operational efficiency.
Qualifications
- Education: Bachelor’s degree preferred or equivalent experience
- Experience: 10+ years of executive assistant experience, preferably in life sciences or start-up companies.
- Traits: Must possess a high level of discretion; ability to work in a fast-paced environment; ability to think proactively with a high level of emotional intelligence and adaptability.
- Skills: Strong organizational, communication, and problem-solving skills.
- Technical Proficiency: Microsoft Office Suite, other communication tools
- Industry Knowledge: Familiarity with clinical trial processes and regulatory compliance is a plus.
