Job Vacancy: We are seeking a proactive and highly organized Secretary / Executive Assistant to provide dedicated administrative and secretarial support to our management team. The right candidate will be discreet, adaptable, and able to juggle multiple priorities while maintaining a professional presence.

Key Responsibilities:

  • Manage and maintain daily schedules, calendars, and meeting arrangements to ensure smooth time management.
  • Coordinate travel itineraries, hotel reservations, and logistical arrangements for business trips.
  • Draft meeting agendas, record minutes, and follow up on action items to ensure timely completion.
  • Handle incoming calls, emails, correspondence, and welcome visitors with professionalism.
  • Maintain filing systems and safeguard confidential records and documents.
  • Assist with the preparation of reports, presentations, and internal communications.
  • Liaise with internal teams and external stakeholders to facilitate efficient information flow.
  • Support routine office operations and contribute to the seamless running of day-to-day activities.
  • Undertake ad-hoc tasks and projects as assigned, demonstrating flexibility and a can-do attitude.

Requirements:

  • Bachelor’s degree or diploma in Business Administration or a closely related discipline.
  • 3–5 years’ experience in secretarial, executive assistant, or office administration roles.
  • Proficiency with MS Office applications (Word, Excel, PowerPoint, Outlook) and modern office tools.
  • Strong written and verbal English communication skills; Arabic is an advantage.
  • Professional demeanor, excellent interpersonal skills, and the ability to multitask effectively.
  • Highly organized, system-oriented, and able to adapt to shifting priorities.
