Description:
Timeline Optimization Group is seeking a detail-oriented and experienced Scheduling Coordinator to manage clinician schedules for a leading national acute care provider spanning from New York to Hawaii. This fully remote role is critical in ensuring optimal staffing levels that support patient care and organizational performance.

Key Responsibilities:

Schedule Management & Planning:

  • Create and maintain schedules for multiple hospital locations 45 days in advance.
  • Utilize scheduling software (Shift Admin) to auto-generate schedules based on rules and customizations.
  • Ensure all shifts are staffed according to expected patient volumes.
  • Optimize clinician availability and utilization with tiered prioritization.
  • Coordinate cross-credentialed providers across multiple sites.

Relationship Building & Communication:

  • Build strong relationships with providers to understand scheduling preferences.
  • Collaborate with Physician/APP leaders, Site Directors, and Regional Directors.
  • Communicate schedule changes effectively and ensure alignment with all stakeholders.
  • Negotiate premium rates for shifts beyond contracted maximums.
  • Maintain high provider satisfaction regarding monthly schedules.

Analysis & Problem-Solving:

  • Review scheduling requests to identify potential conflicts.
  • Analyze historical data to forecast staffing needs.
  • Generate reports and communicate findings to leadership.
  • Investigate complaints, determine root causes, and resolve issues promptly.
  • Adjust schedules to meet service and budget requirements under tight deadlines.

Strategic Coordination:

  • Prioritize use of full-time clinicians first, followed by part-time, STAT, and locum resources.
  • Coordinate with locum companies to secure external resources within budget.
  • Work with the Scheduling Optimization team for traveling physicians.
  • Optimize shift trades and blocking to minimize costs.
  • Ensure continuity of care, shift equity, and adherence to site-specific policies.

Technical & Administrative:

  • Configure Shift Admin and apply pay codes for Workday payroll integration.
  • Update shift maps as directed by site leadership.
  • Manage on-call responsibilities as required.
  • Maintain professionalism and composure in challenging situations.

Required Qualifications:

  • Experience managing complex, fluid schedules.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Ability to prioritize competing needs and think critically.
  • Proficient in Microsoft Office (Outlook, Word, Excel) and Adobe Acrobat.
  • Ability to navigate dual and remote reporting structures.
  • Close visual acuity for extended computer work.

Preferred Qualifications:

  • Bachelor’s degree.
  • Shift Admin software experience.
  • Previous healthcare or clinician scheduling experience.
  • Background in healthcare operations or workforce management.
