Job Overview:
Join Alamy’s West Coast sales support team as a Sales Administrator — a remote role that keeps our US sales operations running smoothly. You’ll be the organised backbone for a fast-moving, customer-focused sales group, making sure data, contracts and client communications are accurate and handled on time.

Key Responsibilities:

  • Provide day-to-day administrative support for the US (West Coast) Sales team, ensuring smooth handoffs and timely follow-ups.
  • Maintain Salesforce records with precision so the pipeline, forecasting and opportunity data stay reliable.
  • Prepare and distribute reports and client materials — slide decks, proposals and status updates — to support sales conversations.
  • Assist with contract preparation and processing, coordinating signatures and documentation.
  • Coordinate internal communications between sales, operations and other departments to remove blockers for clients.
  • Support new client onboarding and setup, helping to get accounts and workflows ready for live use.
  • Spot opportunities to improve processes and help implement best-practice workflows for the team.

About You:

  • You bring strong organisational skills and a calm, dependable approach to a busy sales environment.
  • Proven experience in an administrative or sales-support capacity, with confidence using CRM tools (Salesforce preferred).
  • Excellent written and verbal communication and an ability to respond quickly to changing priorities.
  • High attention to detail and accuracy when handling data and preparing materials.
  • Able to work independently, manage competing tasks, and collaborate effectively across teams.
  • A positive, can-do attitude and a willingness to contribute to process improvement.
