Description:
The University of Miami Miller School of Medicine is seeking a Records Assistant to join our team remotely. Under the guidance of the Manager of Records and Student Services, this role focuses on providing excellent customer service to applicants, newly admitted students, and their families while ensuring accurate management of student records. The Records Assistant will handle sensitive documentation, including test scores and enrollment records, using systems such as Slate, PeopleSoft/CaneLink, PowerFaids, and OnBase.

Primary Duties and Responsibilities:

  • Act as the primary contact via phone and email for student and parent inquiries regarding applications and student records.
  • Serve as liaison for student records to other University departments.
  • Load, index, and manage documents and files for undergraduate student records, ensuring all checklists are complete.
  • Maintain secure, confidential, and accurate student records within University systems.
  • Communicate and apply records management concepts to ensure accurate recordkeeping.
  • Review and manage mismatched records in Slate, manage test scores, and process change requests from EM functional personnel.
  • Assist with the final review of high school transcripts.
  • Perform other duties as assigned.

Minimum Qualifications:

  • High school diploma required; post-secondary education preferred.
  • One year of relevant work experience in records management or customer service, preferably in higher education or corporate settings.
  • Appropriate combinations of education and experience will also be considered.

Knowledge, Skills, and Abilities:

  • Strong knowledge of records management principles.
  • High attention to detail with the ability to manage multiple projects simultaneously.
  • Excellent oral and written communication skills.
  • Ability to deliver outstanding customer service to students, parents, and administrators.
