Description:
JS Compliance LLC is seeking a proactive Project Assistant to join our team remotely. This role delivers core PSM (Process Safety Management) and RMP (Risk Management Plan) support for assigned clients, working under periodic guidance from a Senior Project Manager. The ideal candidate will be developing independence in regulatory and technical decision-making while owning the day-to-day project execution and client communications.
Key Responsibilities:
- Serve as the primary point of contact for assigned client accounts, maintaining regular communication via email, phone, and virtual meetings.
- Prepare meeting agendas, materials, and follow-up action items for monthly PSM team reviews; lead those monthly meetings to discuss progress, priorities, and outstanding tasks.
- Perform PSM/RMP gap assessments, compliance audits, and SOP reviews; review client documentation for regulatory alignment and escalate complex issues to the Sr. Project Manager.
- Track and monitor remediation progress and action items using APSM and SharePoint; document status and push items to closure.
- Initiate, manage, and close Management of Change (MOC) processes from inception through closeout.
- Lead incident and near-miss investigations, ensure complete documentation within required timeframes, and route final investigation packages for Sr. PM review and approval.
- Maintain Emergency Action Plan (EAP) and Emergency Response Plan (ERP) drill schedules, document evaluations, and ensure related corrective actions are tracked to closure.
- Draft and tailor PSM/ARM procedures and forms using approved templates; coordinate with client teams to implement new or revised procedures and submit final drafts to the VP of TPSM for approval.
- Track contractor compliance records and safety evaluations to ensure they meet client requirements; escalate complex contractor safety concerns to the Sr. PM.
- Assign, coordinate, and monitor internal tasks (e.g., in Monday.com) and keep project documentation organized in APSM and SharePoint.
- Prepare compliance status reports for clients and leadership as requested and support other special projects to advance client compliance and company goals.
Skills, Knowledge and Expertise:
- 1–3 years of experience in safety, compliance, technical project management, or closely related fields (internships or relevant training accepted).
- Familiarity with OSHA PSM and EPA RMP regulations is preferred; experience with ammonia refrigeration is a plus.
- Strong organizational skills, time management, and the ability to balance multiple client priorities.
- Proficiency in Microsoft Office and the ability to learn industry tools such as APSM, SharePoint, and Monday.com.
- Excellent written and verbal communication skills and comfortable producing client-facing documentation.
