We’re Hiring: Project Accounting Coordinator – Remote

Bowman Consulting is seeking a Project Accounting Coordinator to join our team remotely in the Central Time Zone. This role offers an opportunity to thrive in a collaborative environment while managing project billing and financial operations that directly impact both internal teams and client satisfaction.

Key Responsibilities:

  • Oversee the project billing process, ensuring accurate and timely invoicing and adherence to company billing policies.
  • Respond to client inquiries and verify employees’ chargeable time.
  • Develop and maintain strong relationships with internal teams and external clients to foster a productive working environment.
  • Work with Project Managers to ensure accurate project billing and implement processes to improve cash flow and reduce receivables.
  • Monitor and negotiate collection of overdue accounts.
  • Perform project setup for new projects and manage monthly invoicing, including draft and final invoice preparation, edits, and supporting documentation submission.
  • Review vendor and subcontractor invoices.
  • Attend client meetings or webinars to comply with third-party portals and invoicing requirements.
  • Handle client vendor requests, including forms, ACH authorizations, W-9s, and certificates of insurance.
  • Conduct project account reconciliations, ad hoc requests, and project closeouts.
  • Communicate regularly with clients to resolve disputes or claims and act as a liaison between operations and corporate accounting functions.
  • Assist with annual financial audit preparation as needed.

Qualifications & Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with accounting systems such as Deltek Vision preferred.
  • Strong analytical, problem-solving, and communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • High degree of discretion and ability to manage confidential information.
