Description:
LearnLux is looking for a detail-oriented Planner Operations Associate to support the daily operations of its global network of financial experts. The company provides workplace financial wellbeing solutions by combining digital financial planning tools with personalized guidance from Certified Financial Planner™ professionals.
The selected candidate will manage communication, audits, recordkeeping, and operational processes that ensure a smooth experience for financial planners and members. This role is ideal for someone who enjoys improving workflows, maintaining accurate systems, solving operational challenges, and taking ownership in a fast-growing technology environment.
Key Responsibilities:
• Manage communication channels with global financial planners and ensure timely responses to requests.
• Escalate urgent issues to senior planning leads when necessary.
• Prepare and distribute newsletters and important updates to financial experts.
• Monitor scheduled calls and resolve issues that may impact the member experience.
• Support onboarding processes for new financial experts by managing access, tools, and administrative setup.
• Conduct regular audits of planner tools and systems to ensure correct configurations.
• Maintain accurate planner records and ensure strong data quality across operational systems.
• Support the creation and improvement of standard operating procedures (SOPs).
• Collaborate with operations managers and planning teams to identify recurring challenges and improve processes.
Requirements:
• 2–4 years of experience in operations, coordination, or support roles, preferably in a fast-paced startup environment.
• Experience working with international teams or cross-cultural environments is an advantage.
• Excellent written and verbal communication skills.
• Strong attention to detail with the ability to identify errors, inconsistencies, and data issues.
• Experience with database or record management tools such as Airtable or similar platforms.
• Familiarity with mass-email or shared inbox tools such as Mailchimp, Front, Braze, or similar systems.
• Experience using scheduling tools such as Calendly or similar software.
• Strong organizational skills with the ability to manage multiple priorities.
• Ability to work independently, follow established workflows, and take initiative.
• Experience using AI tools in daily work processes.
• Strong knowledge of:
