We’re Hiring – Personal Secretary
📌 Reports To: Senior Management
We are looking for a highly organised and discreet Personal Secretary to provide direct administrative support to senior leadership at a private company in Dubai. The ideal candidate will be proactive, efficient with time-management, and comfortable handling both professional and personal tasks with confidentiality.
Key Responsibilities:
• Manage executive calendars, schedule appointments and coordinate complex travel arrangements.
• Handle incoming calls, emails and correspondence on behalf of senior managers.
• Prepare reports, presentations and accurate meeting minutes.
• Organise and maintain important documents, files and records.
• Coordinate meetings, events and logistics with internal and external stakeholders.
• Greet and screen visitors and manage day-to-day office administrative tasks.
• Monitor and replenish office supplies as required.
• Arrange domestic and international travel (flights, hotels, visas, transport) and maintain travel/expense records.
• Assist with basic bookkeeping tasks such as data entry of invoices, receipts and petty cash; support simple reconciliations.
• Perform personal errands and ad-hoc duties for executives when requested.
Requirements:
• High school diploma required; Bachelor’s degree preferred.
• Minimum 2 years’ experience in an administrative or executive assistant role.
• Prior experience supporting senior-level executives is a plus.
• Familiarity with calendar and travel management tools is advantageous.
• Valid UAE driving license (mandatory).
• Excellent communication skills, discretion, meticulous attention to detail and strong organisational abilities.
