As a People Operations Virtual Assistant, you will provide administrative, data, and operational support across multiple People Operations functions. This role is ideal for individuals who are highly organized, detail-oriented, and comfortable navigating multiple online systems. The VA will assist with routine workflow tasks, support repeatable processes, and contribute to a seamless employee experience.

Key Responsibilities:

General People Operations Support:

  • Perform administrative and data entry tasks across People Operations functions
  • Manage and maintain employee information across multiple online platforms including Microsoft Excel, MS Teams, SharePoint, Rippling, and other third-party portals
  • Ensure accuracy, consistency, and organization of employee-related data and documents
  • Support repeatable workflows and assist with emerging tasks as needed
  • Prepare post-termination documents by populating pre-formatted templates and distributing completed packets
  • Audit agreement signatures (e.g., offer letters, PIPs, policy acknowledgments) by generating reports, verifying completion, and ensuring proper filing within HCM or document library

Communication & Coordination:

  • Demonstrate strong written and verbal communication when interacting with internal teams, external partners, and state agencies
  • Relay updates, share required documentation, and follow up on outstanding items in a professional and timely manner
  • Coordinate with cross-functional People Operations stakeholders to ensure smooth execution of processes

Qualifications:

  • Experience in an administrative, HR, People Operations, or operations support role preferred
  • Proficiency with Microsoft Excel, SharePoint, and multiple online systems
  • Familiarity with HCM platforms; experience with Rippling preferred but not required
  • Strong organizational skills with high attention to detail, especially when managing sensitive employee information
  • Ability to maintain confidentiality, accuracy, and consistency in all data tasks
  • Excellent written and verbal communication skills
  • Comfortable working in a fast-paced, dynamic environment and navigating multiple systems and tasks
