Description:

DeSimone Consulting Engineering is actively seeking a detail-oriented and proactive Payroll Specialist to join our remote team in the United States. This role is pivotal in ensuring timely, accurate, and compliant payroll processing across multiple domestic and international jurisdictions. You will play a hands-on role in maintaining payroll accuracy, liaising with various departments, and ensuring the smooth execution of payroll functions.

Key Responsibilities:

  • Administer biweekly and semi-monthly payroll cycles, ensuring precise processing of earnings, deductions, garnishments, and taxes for both exempt and non-exempt staff.
  • Act as the payroll subject matter expert, ensuring compliance with all local, state, and federal laws.
  • Coordinate closely with the HR team to process employee changes affecting payroll.
  • Conduct monthly reconciliations of payroll accounts and prepare associated journal entries and documentation.
  • Reconcile and prepare payroll tax filings including W-2s, 941s, and related reports.
  • Serve as the primary liaison with federal, state, and local agencies for regulatory compliance.
  • Perform internal audits to ensure accuracy within Deltek and UKG systems.
  • Support audits such as 401(k), NDT, and annual true-ups.
  • Maintain organized records and documentation of payroll processes and procedures.
  • Assist with ad hoc projects as requested by Finance Leadership.
  • Ensure data accuracy in employee records across payroll platforms.
  • Investigate and resolve variances in payroll reports and manual changes.
  • Handle prior period adjustments, including stop payments and reversals.
  • Maintain timekeeping systems and ensure the correct flow of data to payroll.
  • Process payroll-related fund transfers for 401(k), HSA, FSA, and benefit carrier payments.

Minimum Qualifications:

  • Associate’s degree in Finance, Accounting, or related field.
  • At least 4 years of experience in multi-state, multi-corporation payroll processing.
  • In-depth knowledge of wage and hour laws and payroll tax principles.
  • Previous experience with UKG Pro is a must.
  • Strong organizational skills with an emphasis on detail and deadline management.
  • Excellent client service and communication skills.
