Description:

AlphaStaffHCM is seeking an experienced Payroll Specialist to join its remote payroll operations team. This position is responsible for processing payroll for multiple client organizations across various states while ensuring payroll accuracy, regulatory compliance, and exceptional customer service. The ideal candidate will have a strong payroll background, experience with HRIS platforms, and the ability to manage multiple client accounts in a fast-paced environment.

The successful candidate will collaborate with internal departments, support system enhancements, resolve payroll inquiries, and provide payroll training to clients. This role requires excellent analytical skills, attention to detail, and the ability to build strong client relationships while maintaining high service standards.

Key Responsibilities:

• Process, review, and verify payrolls for multiple clients, ensuring accuracy before final submission.

• Generate and provide pre-posting payroll reports for client review and approval.

• Collaborate with IT teams to develop customized client reports and perform quality assurance testing.

• Monitor payroll processing trends and prioritize urgent payroll maintenance activities.

• Support ongoing enhancements for systems including Prism, Cloud Storage, and Salesforce.

• Respond promptly to payroll inquiries and resolve client concerns professionally.

• Maintain payroll records, pay codes, job positions, PTO adjustments, pay locations, and general ledger configurations.

• Track client requests and follow-up activities using Salesforce and Microsoft Outlook.

• Process new client location requests and manage HRIS user access and security.

• Create payroll import templates and conduct payroll training sessions for clients.

• Educate clients on payroll best practices and system functionality.

• Maintain accurate client processing notes within the PRISM platform.

• Partner with Client Technology teams to resolve system access and login issues.

• Perform additional payroll-related projects assigned by the Payroll Manager.

Requirements:

• Associate Degree in Business Administration, Accounting, Human Resources, or a related field is preferred.

• 3–5 years of payroll, HRIS, or Professional Employer Organization (PEO) experience.

• Strong ability to learn new payroll systems and business technologies.

• Excellent communication, follow-up, and customer service skills.

• Proven ability to prioritize multiple tasks and meet strict payroll deadlines.

• Experience with Prism PEO Software is preferred.

• Advanced proficiency in Microsoft Excel, including formulas, filters, and pivot tables.

• Fundamental Payroll Certification (FPC) or Certified Payroll Specialist (CPS) is preferred.

Strong knowledge of:

    • Multi-State Payroll Processing, HRIS, and Payroll Compliance

    • Microsoft Excel, Salesforce, Outlook, and Prism PEO Software

    • Payroll Reporting, Customer Service, Data Analysis, and Process Improvement
