Payroll Coordinator (Remote, US-Based & International)

ACLED is seeking a highly organized Payroll Coordinator to join the Finance team and manage payroll operations for both US-based and international staff. This full-time remote role reports to the Head of Finance and plays a critical role in ensuring accurate, timely payroll processes while complying with relevant US and international regulations. The position also involves developing and implementing payroll change request processes. The expected start date is November 2025.

Key Responsibilities:

  • Manage the full payroll cycle for national and international employees through internal and external stakeholders.
  • Oversee contractor invoicing, payments, and queries across multiple platforms.
  • Process and validate payroll input and ensure accurate salary payments.
  • Monitor and manage the Time & Attendance tool (Timeco) for accuracy and compliance.
  • Collaborate with HR to resolve payroll exceptions, calculate adjustments, and escalate urgent issues.
  • Maintain strong relationships with external vendors, pension funds, and financial consultants.
  • Ensure adherence to company policies, local laws, and tax filing requirements.
  • Support Finance team during audit engagements.
  • Provide guidance to staff and business partners on compensation, benefits, taxes, and insurance matters.
  • Lead projects to improve payroll processes and systems.
  • Offer support to HR department where applicable.
  • Perform other duties as required, including occasional travel.

Skills and Competencies:

  • Fluency in English (required).
  • Minimum 3 years’ experience in payroll administration, preferably within non-profits.
  • Strong proficiency in Excel, accounting software (Netsuite), and data management systems.
  • Experience working with domestic and international PEOs.
  • Excellent attention to detail, problem-solving, and communication skills.
  • Ability to manage multiple tasks and priorities in a remote environment.
  • Familiarity with G-Suite, Timeco, Asana, Bamboo (preferred).
  • Comfortable working independently with limited supervision.
  • EST or CET timezone preferred.
