Description:
Instacart Inc is seeking a detail-oriented and skilled Payroll Administrator to join our growing team. This remote role will support payroll operations across the U.S., Canada, and international regions including Australia and China. You will collaborate with cross-functional teams such as HR, Legal, and Operations to ensure payroll accuracy, compliance, and efficiency while supporting our dynamic workforce.
Key Responsibilities:
• Process bi-weekly or weekly multi-state and international payrolls for salaried, hourly, full-time, and part-time employees.
• Address employee payroll inquiries via Jira, email, and voicemail while providing excellent service across all levels.
• Execute time-sensitive payroll tasks including off-cycle checks, stop payments, reversals, benefit deduction reconciliations, and new hire/termination processing.
• Maintain payroll system configurations including tax setup, timekeeping adjustments, direct deposits, and garnishments.
• Generate, audit, and analyze payroll data and reports to support management and special projects such as W-2 validation and workers’ comp audits.
• Build and maintain relationships with managers and department heads, assisting with complex payroll inquiries and interpreting policies.
• Collaborate with HR, Legal, and other stakeholders to enhance operational efficiency and improve employee payroll satisfaction.
Minimum Qualifications:
• Hands-on experience with Workday Payroll.
• 2+ years of high-volume US/Canada/International payroll experience.
• Strong knowledge of Federal and State regulations and payroll policy interpretation.
• Proficiency in Microsoft Excel including advanced functions (XLOOKUP, SUMIFS, pivot tables).
• Excellent attention to detail, organizational skills, and ability to manage competing deadlines.
• Strong communication and collaboration skills.
• Proficiency in Google Suite (Docs, Sheets, Forms) and ability to learn new systems quickly.
Preferred Qualifications:
• Familiarity with audit procedures, state/local tax rules, compensation, and accounting practices.
• Experience in rapidly-growing or high-volume environments.
• Knowledge of benefit deduction reconciliations and garnishment management.
• Experience producing payroll data analysis and process improvement insights.
• RSU payroll processing and SmartCompliance experience.
• Understanding of SOX compliance and internal control requirements for payroll operations.
Compensation & Benefits:
• Base pay varies by state:
- CA, NY, CT, NJ: $90,000—$100,000 USD
- WA: $86,000—$96,000 USD
- OR, DE, ME, MA, MD, NH, RI, VT, DC, PA, VA, CO, TX, IL, HI: $83,000—$92,000 USD
- All other states: $75,000—$83,000 USD
- Eligible for new hire equity grants and annual refresh grants.
