Position Summary

The Payment Processing Lead is responsible for overseeing the accurate and timely batching, posting, and reconciliation of payments and Explanation of Benefits (EOBs), as well as the processing of adjustments. This position ensures payment operations are executed efficiently and in compliance with company standards. The Lead also serves as a mentor, providing on-the-job training and support to team members. This role requires strong analytical skills, attention to detail, technical aptitude, and a collaborative mindset.

Essential Duties and Responsibilities

  • Ensure timely and accurate posting of all payments and EOBs on a daily basis
  • Monitor and reconcile payment batches and adjustments to maintain accuracy within the Accounts Receivable system
  • Resolve payment discrepancies, provide feedback to staff, and implement corrective actions when necessary
  • Review AR postings to confirm proper allocation of payments
  • Conduct audits to validate posted transactions against expected values
  • Monitor and ensure accuracy of in-person deposit records and remote deposits
  • Oversee reconciliation of all payments across processing systems
  • Collaborate with internal departments to streamline workflows and support operational efficiency
  • Manage monthly close processes and assist with audits
  • Address technical and process-related issues promptly
  • Set clear expectations for team members and communicate departmental goals
  • May be required to perform additional administrative or operational tasks in support of department goals and evolving business needs
  • Other duties as assigned

Leadership Responsibilities

  • Supervise day-to-day operations of the payment processing team
  • Provide training, guidance, and mentorship to team members
  • Coordinate with Billing Manager and Revenue Cycle Management (RCM) leadership regarding scheduling and coverage
  • Communicate any workflow or personnel concerns to RCM
  • Identify opportunities for automation or process improvements
  • Serve as the primary point of contact for payment posting and cash application-related inquiries

Education and Experience Requirements

  • High school diploma or GED required
  • Minimum of two (2) years of experience in payment posting or cash applications
  • At least one (1) year of experience in a lead or supervisory role
  • Proficiency with 10-key data entry
  • Experience processing payments using EOBs
  • Prior experience in dental billing or a similar healthcare-related environment preferred
