Role Overview:
We are seeking a detail-oriented Payment Processing Coordinator to join our Veeva Digital Events team. The successful candidate will handle payment processing for speakers, exhibits, and expenses while ensuring compliance with contracts and internal guidelines. This role requires collaboration across departments and strong attention to detail in a fast-paced environment.

Key Responsibilities:

  • Process high volumes of Speaker Honoraria/Expense and Display & Exhibit payments within our proprietary event management software.
  • Review Speaker contracts to confirm payment amounts.
  • Calculate travel stipends and verify expense submissions with supporting documentation.
  • Record daily journal entries and perform quarterly account reconciliations.
  • Review W9 forms and TIN Match for accuracy.
  • Collaborate with internal teams to resolve payment discrepancies.
  • Create IT helpdesk tickets for payment processing issues.
  • Manage bank interactions regarding payment inquiries and check status (Voids/Re-issues).
  • Handle Positive Pay exceptions and lost/misplaced check cancellations.
  • Assist with customer onboarding, including account setup, check template testing, and payment file deployment.
  • Support year-end 1099 processing and state-specific withholding tax filings.

Requirements:

  • Detail-oriented with ability to review contracts and follow customer guidelines.
  • Strong written and verbal communication skills for internal and external interactions.
  • Medium to advanced proficiency in MS Excel.
  • Ability to work accurately in a high-volume setting and prioritize workload.
  • Collaborative team player with problem-solving capabilities.
  • Accounting/Finance background preferred.

Compensation:
