Description:
University of Colorado Medicine (CU Medicine) is seeking a highly motivated Patient Scheduler to join its Cardiothoracic Surgery team. This remote position supports clinic operations by managing scheduling activities, patient communications, and administrative workflows in a non-clinical healthcare environment.
The successful candidate will serve as a key point of contact for patients, providers, referring offices, and clinic teams. Responsibilities include appointment scheduling, managing referrals, handling medical records, processing administrative requests, and ensuring accurate documentation while maintaining patient confidentiality.
This role is ideal for an organized professional with strong communication skills, attention to detail, and the ability to work independently in a fast-paced healthcare setting.
Key Responsibilities:
• Manage inbound and outbound calls while providing professional assistance and directing inquiries to the appropriate teams.
• Schedule patient appointments accurately using Epic or similar electronic medical record systems.
• Review and manage referral work queues, verify required documentation, and coordinate patient scheduling.
• Process Epic In-Basket messages related to non-clinical requests and route medical concerns to appropriate healthcare staff.
• Handle provider scheduling requests and ensure timely appointment coordination.
• Retrieve, upload, and organize medical records, imaging, and supporting documents.
• Process incoming faxes and upload documentation into the correct patient records.
• Participate in team meetings, training sessions, and workflow improvement activities.
• Maintain accurate records while following HIPAA confidentiality requirements.
Requirements:
• High school diploma or equivalent.
• 2 years of experience in a healthcare environment is preferred.
• Experience with Epic or other electronic medical record systems is preferred.
• Proficiency in Microsoft Office Suite.
• Strong verbal and written communication skills.
• Excellent customer service and interpersonal abilities.
• Ability to manage multiple tasks, adapt to changing priorities, and work independently.
• Knowledge of medical terminology and healthcare front-office operations is preferred.
• Ability to maintain patient confidentiality according to HIPAA standards.
