We are currently seeking a Patient / Care Scheduling Specialist to support clients and families throughout their treatment journey. This role plays a critical part in welcoming clients after admission, building trust, coordinating care, and ensuring a seamless experience during treatment. The specialist serves as a primary point of contact for clients while collaborating closely with internal teams to proactively remove barriers to care.

Key Responsibilities:
• Place outbound calls, emails, and text messages to admitted clients to ensure successful enrollment into treatment plans.
• Support clients in understanding insurance benefits and completing financial enrollment requirements.
• Act as a liaison between clients and internal teams including Admissions, Billing, Utilization Review, Outreach, and Clinical departments.
• Respond to client-related requests from the Clinical Care team to enhance the overall patient experience.
• Identify gaps in treatment attendance and proactively contact clients to resolve attendance challenges.
• Communicate aftercare resources, such as outpatient therapy options, and assist families with post-treatment scheduling.
• Manage client schedules, including scheduling and rescheduling appointments as needed.
• Complete documentation accurately and within required timelines.
• Adapt to organizational and departmental changes to meet evolving client and family needs.
• Meet assigned KPIs, including appointment scheduling, financial agreements completed, call volume, resolution rates, and customer satisfaction scores.

Requirements:
• Strong alignment with Charlie Health’s mission, vision, and values.
• Excellent written and verbal communication skills.
• At least 2 years of experience in customer service, patient support, or client success roles.
• 1–2 years of experience using Salesforce or a similar CRM platform.
• 1–2 years of experience with contact center technology.
• Experience discussing financial matters with customers; healthcare insurance or medical billing knowledge is a strong advantage.
• Ability to multitask effectively in a fast-paced environment.
• High emotional intelligence and empathy when supporting clients and families.
• Working knowledge of HIPAA policies and procedures.
• Authorization to work in the United States with native or bilingual English proficiency.
• Proficiency with cloud-based tools such as Slack, Google Workspace, Microsoft Office, Zoom, and EMR systems.
