Key Responsibilities:

  • Create a seamless, high-touch patient experience, combining healthcare precision with luxury concierge-level service.
  • Manage scheduling, test orders, referrals, and task tracking, ensuring all physician-directed activities are executed flawlessly.
  • Collaborate with Executive Assistants, external partners, and clinical teams to anticipate needs and eliminate operational friction.
  • Maintain accurate and detailed patient records using EMR and CRM systems.
  • Proactively notice and correct errors, ensuring patients feel informed, supported, and valued.
  • Build and sustain essential relationships with external partners and patients.
  • Drive process improvements and contribute to team innovation.

Qualifications & Skills:

  • 3–5 years of experience in roles demanding exceptional service and administrative excellence, including healthcare coordination.
  • Proficiency with Microsoft Office, Adobe, EMR systems, and CRM platforms.
  • Experience in patient-facing roles, remote work environments, and self-managed digital communication.
  • Strong hospitality mindset, exceptional attention to detail, proactive problem-solving, adaptability, and ownership mentality.
