Description:
The Order Entry Specialist will be responsible for ensuring the precise and timely processing of aviation-related service requests, including charter bookings, aircraft maintenance orders, and parts requisitions. Serving as a central point of contact, this role connects client needs with internal operational teams, guaranteeing that every request is recorded, confirmed, and fulfilled accurately.
Key Responsibilities:
- Receive and input orders into internal systems for charters, maintenance, parts, and other services.
- Review and validate all order details, including client information, flight requirements, and authorization documentation.
- Provide clients and internal teams with confirmations and ongoing status updates.
- Monitor progress of open orders, addressing delays or discrepancies and reporting updates to supervisors.
- Work collaboratively with departments such as flight operations, maintenance, dispatch, and finance to resolve issues.
- Prepare daily or weekly reports on order volumes, lead times, pending actions, and exceptions.
- Recommend improvements to order-processing workflows to enhance accuracy and efficiency.
- Maintain accurate digital and physical records for transparency and audit purposes.
Requirements:
- High school diploma required; advanced degrees in aviation or business-related fields preferred.
- Previous experience in order entry or operational coordination, preferably within aviation or logistics.
- Strong accuracy and attention to detail in data entry and record keeping.
- Skilled in using productivity software and familiar with order management or aviation systems.
- Excellent communication and organizational skills with the ability to multitask effectively.
- Professional, collaborative, and capable of performing under pressure.

Desired Skills & Experience:
- Bachelor’s or Master’s degree in Aviation Management, Aerospace Engineering, Business, or related field.
- 10+ years in aviation operations or management, with at least 5 years in leadership roles.
- Knowledge of FAA and international regulatory requirements.
- Proven leadership, strategic planning, and budgetary skills.
- Pilot license or aviation certification is advantageous but not required.
