The Operations Manager Assistant is a key support role for the Operations Manager, ensuring smooth cross-department workflows, efficient process management, and clear communication across all teams. This role requires organization, attention to detail, and proactive communication to maintain operational consistency.

Key Responsibilities:
Channels and Tools Management: Grant and manage tool access for new team members. Regularly monitor communication channels (Telegra, Slack, WooCommerce, and marketing tools) to ensure timely responses and engagement. Follow up on pending messages to maintain workflow continuity.
WooCommerce Subscriptions and Orders: Generate and distribute affiliate coupon codes. Monitor order statuses and report potential issues or delays. Maintain organized order information to support resolution.
Expenses and Payment Requests: Track payment requests and ensure timely processing. Update expense tracking spreadsheets and organize invoices and receipts for audit compliance.
Project Management Support: Coordinate with department heads weekly to gather KPIs. Follow up to ensure tasks remain on schedule. Schedule meetings, capture action items, and create ClickUp tasks. Maintain organized project files and communicate updates to internal stakeholders.
Standard Operating Procedures (SOPs): Upload and maintain departmental SOPs. Conduct quarterly reviews to ensure accuracy and relevance.
Email Management: Monitor shared inboxes, label and organize incoming emails, escalate or delegate important messages promptly.

Qualifications:
Required:
• Experience in administrative or operational support, preferably in remote or cross-departmental environments.
• Familiarity with Slack, ClickUp, WooCommerce, and Google Workspace.
• Strong organizational skills with the ability to manage multiple priorities.
• Excellent written and verbal communication skills.
• Detail-oriented with a proactive, problem-solving mindset.
• Ability to handle sensitive information discreetly.

Preferred:
• Experience in project coordination or operations management support.
• Basic understanding of eCommerce platforms and order management systems.
• Comfortable working across multiple departments and time zones.

Physical Requirements:
• Ability to sit for extended periods and work on a computer.
• Communicate effectively in person, via phone, or virtual meetings.
• Maintain focus in an office environment with moderate noise.
• Perform repetitive motions such as typing.
