We are seeking a proactive Operations Executive to join BuyParts24’s Al Quoz operations team. This role focuses on end-to-end procurement and warehouse coordination, ensuring orders flow smoothly from purchase order creation through receipt, reconciliation, and invoicing while supporting cross-functional teams.

🔑 Key Responsibilities:

  • Coordinate and supervise daily procurement activities and warehouse operations to meet service and delivery targets.
  • Act as the main point of contact between internal teams (buyers, warehouse, finance, sales) and external partners (suppliers/customers).
  • Monitor order progress, follow up on PO status and ETAs, and resolve operational delays or bottlenecks.
  • Manage ASN-to-GRN reconciliation, validate GRN status, and complete PPR closing processes.
  • Handle high-volume invoice processing tasks (scanning, verifying, posting to complete) — typically 30–35 invoices per day.
  • Maintain and report on key operational metrics (daily/weekly/monthly purchase volumes, supplier invoices, performance indicators).
  • Support the Sales team with order cancellations and returns: initiate cancellations on the platform for price adjustments, change of mind, or defective items and coordinate returns processing.
  • Ensure complete, accurate documentation for audits and record-keeping in line with company and legal standards.

✅ Requirements:

  • 3–5 years’ experience working in spare parts operations, ideally within the automotive sector.
  • At least 2–3 years of administrative experience supporting operational workflows.
  • Hands-on experience with ERP systems and proven ability to support/ troubleshoot ERP-related issues for the team.
  • Strong familiarity with automotive spare-parts terminology, supplier networks, and market practices.
  • Solid knowledge of inventory control and supply-chain fundamentals.
  • Resourceful, able to juggle multiple priorities, and comfortable working in a fast-paced environment.
  • Analytical mindset with a strong eye for detail and process accuracy.
