Role Overview:
We are seeking a motivated and analytical Operations Associate to join our team. This individual will play an essential role in supporting our medical aesthetics partner clinics by working across the operations and finance functions. Reporting directly to the Senior Director of Operations & Implementation, this person will also collaborate with the broader Annie Aesthetic executive team and clinic leadership to help meet organizational goals. Ideal candidates are proactive, communicative, detail-oriented, and excited about helping clinics thrive.
Key Responsibilities:
Financial & Operational Cross-Functional Support
- Partner with senior leaders to onboard newly acquired clinics to the Annie platform and support the full acquisition lifecycle.
- Assist in EMR transitions by compiling backend data (e.g., historical sales, liabilities, inventory) to support accurate financial reporting.
- Work with developers to design and test automated payroll and commission dashboards to improve visibility into clinic performance.
- Help build clinic-level budgets and monitor actuals against financial targets, especially around adjusted gross profit.
- Analyze financial variances and provide insights to support bonus calculations and drive key decisions.
Operations Support
- Develop and roll out SOPs, project plans, and checklists for daily operations and broader initiatives like onboarding, inventory, hiring, and EMR (Zenoti) usage.
- Guide clinics through change by applying strategic frameworks and structured project management techniques.
- Draft weekly meeting agendas for Clinic Managers and track performance using KPIs.
System Management
- Collaborate with Zenoti representatives and internal teams to build and execute Zenoti implementation plans.
- Train clinic teams, provide hands-on support, and ensure the system is customized to meet practice-specific needs.
- Stay current on Zenoti product updates and identify new adoption opportunities to improve efficiency and revenue.
Vendor Management & Compliance
- Act as point of contact for third-party vendors including pharmaceutical, marketing, IT, and facility providers.
- Ensure all clinics meet regulatory requirements related to business licenses, operational permits, and clinical best practices.
Requirements:
Education & Experience
- Bachelor’s degree is required.
- Minimum 1.5 years of professional experience in audit, advisory, consulting, or a similar environment.
- Experience with Big 4 firms or equivalent is highly preferred.
Skills & Abilities
- Strong interpersonal and relationship-building skills at all organizational levels.
- Advanced Excel proficiency required; experience with EMR and CRM systems is a bonus.
- Familiarity with technology integration is ideal.
- Able to navigate fast-paced, ambiguous work settings with a results-oriented mindset.
- Demonstrated experience managing multiple projects and streamlining processes.
- Clear and effective written and verbal communication skills with a tactful and empathetic approach.
- Willingness to travel as necessary.
