Description:
7Seventy Recruiting is seeking a highly organized and resourceful Operations Associate to provide strategic operational and executive support to the Chief Executive Officer. This remote opportunity is ideal for professionals who excel in fast-paced environments, enjoy optimizing business processes, and are passionate about improving executive efficiency through strong organizational and operational expertise.
The successful candidate will manage executive scheduling, communications, meetings, travel coordination, and special projects while collaborating closely with senior leadership. This role also focuses on streamlining workflows, enhancing internal operations, and leveraging technology and AI tools to improve productivity. Candidates should be comfortable supporting high-level executives while maintaining confidentiality and adapting to changing priorities.
Key Responsibilities:
• Manage the CEO’s calendar, appointments, and scheduling while optimizing time allocation across key priorities.
• Coordinate meetings, prepare agendas, organize materials, and track follow-up action items.
• Assist with inbox management by prioritizing communications and responding in the CEO’s communication style.
• Handle executive administrative tasks, including travel arrangements, expense reports, reimbursements, and appointment scheduling.
• Maintain and organize professional contact databases while identifying networking and relationship-building opportunities.
• Coordinate conferences, executive visits, and company events to ensure seamless execution.
• Identify operational inefficiencies and implement process improvements, including AI-powered workflow enhancements.
• Lead or support special projects that strengthen organizational efficiency and internal knowledge management.
Requirements:
• Proven experience supporting senior executives in operations, executive administration, or business operations.
• Strong ability to prioritize multiple tasks and work effectively in a fast-paced environment.
• Excellent organizational, analytical, and problem-solving skills.
• Outstanding written and verbal communication skills.
• Ability to anticipate executive needs and manage confidential information with discretion.
• Experience improving systems, workflows, and operational processes.
• Interest in AI tools, automation, and productivity technologies.
• Ability to overlap approximately five hours daily with Pacific Time working hours.
• Willingness to travel to the San Francisco Bay Area at least once per quarter if located outside the region.
