Description:

With offices in Washington, DC, USA, and Canberra, Australia, we are rapidly expanding our global footprint and seek an adaptable, detail-oriented Operations Associate / Operations Manager to help strengthen and grow our operational infrastructure. This role reports directly to the Chief of Staff and supports both our 501(c)(4) entity, Global Shield, and our partner 501(c)(3), Global Shield Institute.

This position is ideal for professionals who combine strong project management skills with a keen understanding of nonprofit operations, thrive in dynamic environments, and can work across multiple time zones, labor laws, and organizational cultures. Key Responsibilities:

Operations & Administration (≈40%):

  • Lead day-to-day operational tasks and become the main point of contact for subscriptions and service providers
  • Track compliance requirements and deadlines, coordinating with team members as needed
  • Assist Chief of Staff and Executive Director in administrative tasks for both organizations
  • Support strategic initiatives, special projects, and events
  • Identify operational inefficiencies and implement improvements
  • Anticipate organizational needs and plan for future growth

Systems & Infrastructure (≈30%):

  • Lead cybersecurity efforts, managing technical consultants as required
  • Improve workflows and project management processes across teams
  • Assist with knowledge management and internal communications
  • Ensure systems and infrastructure support organizational growth

People Operations (≈20%):

  • Serve as liaison for PEO and EOR providers (Justworks, Globalization Partners) and manage annual processes such as benefits enrollment and reporting
  • Maintain company handbook and internal documentation
  • Support hiring processes, applicant management, and onboarding, including operational components
  • Develop standardized onboarding processes for new hires

Global Expansion & Team Management (≈10%):

  • Collaborate with the Global Growth & Development Manager to establish new country offices
  • Plan and manage logistics for annual in-person team retreats

Required Skills & Experience:

  • Proven experience in nonprofit operations, administration, or project coordination (3+ years)
  • Strong organizational and project management skills, with attention to detail
  • Ability to prioritize tasks in a fast-paced and evolving environment
  • Independent, proactive, and comfortable with ambiguity
  • Discretion and sound judgment with sensitive information
  • Exceptional written and verbal communication skills
  • Ability to collaborate effectively across cultures and time zones
  • Proficiency in Google Workspace, Slack, Zoom, Monday.com, and other collaboration tools
  • Bachelor’s degree or equivalent

Desired Skills & Experience:

  • Comfort with budget tracking, expense reports, and basic spreadsheets
  • Experience with 501(c)(3) and 501(c)(4) management
  • Prior experience in a nonprofit with global offices
  • Familiarity with government liaison work
  • Experience in remote or distributed teams
  • Proficiency in a second language, especially NATO official languages, is a plus
