Description:

Operations Assistant — Remote (reporting to Operations Manager)
We are seeking a detail-oriented Operations Assistant to support the operational backbone of a fast-growing advertising agency. This role suits someone who loves process, excels at organizing data, and contributes to operational excellence across finance, recruitment, reporting and cross-functional projects.

Primary Responsibilities:

  • Financial management & reporting — process, validate and maintain financial records with full accuracy; prepare daily, weekly and monthly reports; support QuickBooks close-outs and payroll/benefits processing; build dashboards to visualise key financial metrics.
  • Recruitment & onboarding support — manage the applicant tracking system (ATS), screen candidates, coordinate interviews and follow-ups, and maintain candidate/job profiles; oversee onboarding workflows and monitor new-hire ’30-Day Challenge’ progress.
  • Process documentation & continuous improvement — create and update SOPs and operational playbooks; design and document workflows; propose validated process improvements regularly.
  • Reporting & analytics — maintain and enhance dashboards for operational KPIs; analyse data and deliver actionable insights to guide decision-making.
  • Team support & project coordination — assist the Operations Manager with daily operational tasks and strategic initiatives; coordinate cross-department communication; help manage projects to ensure on-time delivery and maintain centralised documentation and resources.

Expected Outcomes & Performance Metrics:

  • Financial Accuracy: maintain 100% accuracy in financial reports; ensure timely, error-free reporting and QuickBooks close processes.
  • Hiring Efficiency: support hiring to maintain a 4:1 interview-to-offer ratio and ensure timely candidate tracking and reporting.
  • Process Implementation: submit at least 4 validated process improvements per month and achieve ≥95% completion of new-hire onboarding milestones.
  • Reporting Cadence: deliver weekly reports by 9:30 AM ET every Monday and meet all reporting deadlines with clear, actionable insights.
