Description:
[RemoteHunter is seeking an Operations & Administrative Assistant to support an organic growth agency focused on helping B2B SaaS companies drive growth through SEO and content. This role ensures seamless business operations across sales, marketing, client delivery, and recruiting, emphasizing efficiency and automation.

Responsibilities:

  • Follow up on meetings and add tasks to the project management tool.
  • Monitor Asana for overdue tasks or blockers and alert relevant team members.
  • Track incomplete timesheets and build monthly time tracking reports for leadership.
  • Create custom GPTs to streamline client team workflows and research.
  • Build SOPs for repeatable administrative processes.
  • Use automations to generate content briefs with input from client teams.
  • Produce Clearscope reports and upload content into CMS platforms like WordPress and Webflow.
  • Maintain client content brief templates and support podcast publishing workflows.
  • Update the organization’s website and repurpose content using AI workflows.
  • Draft initial sales proposals and organize client files in Google Drive.
  • Perform initial applicant screenings and schedule interviews via Ashby.
  • Assist with hiring specialist roles using Clay sourcing and Ashby sequences.
  • Enable tool access and automation for freelancers across platforms like Drive and Airtable.

Requirements:

  • 2+ years experience as an Executive or Operations Assistant in a remote environment.
  • Excellent written and verbal communication skills.
  • Highly organized, proactive, resourceful, and process-oriented.
  • Ability to solve problems independently and adapt to evolving responsibilities.
  • Familiarity with Asana, Airtable, Google Drive, Slack, Notion, 1Password, Calendly, and Fireflies.ai.
  • Basic understanding of marketing is a plus.
  • High attention to detail, punctuality, and adherence to deadlines.
  • Critical thinking, intellectual curiosity, and friendly team collaboration.
  • Comfortable working independently, setting goals, and iterating on processes.
