About the Opportunity:

RemoteHunter, an organic growth agency supporting B2B SaaS companies, is seeking a highly organized Operations & Administrative Assistant to ensure smooth business operations. This role involves supporting processes across sales, marketing, client delivery, and recruiting with a focus on efficiency and automation.

Key Responsibilities:

  • Follow up on meetings and add tasks to the project management tool.
  • Monitor Asana for overdue tasks or blockers and notify relevant team members.
  • Track incomplete timesheets and build monthly time tracking reports for leadership.
  • Build custom GPTs to help client teams streamline work and research.
  • Develop SOPs for repeatable administrative tasks.
  • Use automations to generate content briefs with input from client teams.
  • Produce Clearscope reports and upload content into CMS such as WordPress and Webflow.
  • Maintain and update client content brief templates.
  • Support podcast publishing workflow and update the organization’s website.
  • Repurpose content using AI workflows and upload to social scheduling tools.
  • Draft initial sales proposals using AI workflows and presentation templates.
  • Organize sales proposals and client files in Google Drive.
  • Perform initial applicant screening, schedule interviews, and support hiring for specialist roles using Clay and Ashby sequences.
  • Enable tool access and automation for freelancers (Drive, Airtable, etc.).

Requirements:

  • 2+ years of experience as an Executive Assistant or Operations Assistant in a remote setup.
  • Outstanding written and verbal communication skills.
  • Strong organizational, proactive, and resourceful skills.
  • Ability to solve problems independently and adapt to evolving responsibilities.
  • Familiarity with Asana, Airtable, Google Drive, Slack, Notion, 1Password, Calendly, and Fireflies.ai.
  • Basic understanding of marketing is a plus.
  • High attention to detail with receptiveness to feedback.
  • Strong punctuality, deadline orientation, critical thinking, and process-oriented mindset.
