Description:
TME Legal is seeking a proactive and detail-oriented Office Administrator & PRO to join its Dubai office. This full-time, on-site position combines office administration responsibilities with government relations activities, making it an excellent opportunity for professionals who thrive in a dynamic and fast-paced environment.
The successful candidate will play a key role in ensuring smooth office operations while managing regulatory and government-related processes across mainland and free zone jurisdictions. This position requires excellent organizational skills, strong communication abilities, and hands-on experience with UAE government procedures and compliance requirements.
Key Responsibilities:
• Manage daily office operations, correspondence, scheduling, and executive support activities.
• Maintain organized filing systems for company records, contracts, and official documentation.
• Coordinate vendor relationships, office supplies, and employee onboarding documentation.
• Process and manage visa applications, renewals, Emirates ID requests, labor cards, and entry permits.
• Handle trade license renewals, amendments, and regulatory documentation for mainland and free zone entities.
• Liaise with UAE government authorities, including MOHRE, GDRFA, ICP, DED, and related departments.
• Maintain compliance calendars to ensure all regulatory deadlines and renewals are met.
• Coordinate document attestation, legalization, and MOFAIC submissions as required.
• Support internal stakeholders with administrative and compliance-related matters.
Requirements:
• Minimum 3 years of hands-on UAE experience in a similar Office Administrator and PRO role.
• Previous experience within a law firm or legal consultancy environment is highly preferred.
• Proven knowledge of mainland and free zone government procedures and compliance requirements.
• Working knowledge of UAE government portals, including MOHRE, GDRFA, ICP, DED, Tasheel, and AMER.
• Fluency in English is mandatory.
• Additional language skills such as German, French, Spanish, Italian, or Arabic are considered advantageous.
• Strong organizational, administrative, and multitasking abilities.
• Excellent communication and stakeholder management skills.
