Description:
Beveridge & Diamond PC is seeking a meticulous Legal Billing Specialist to manage the full billing cycle within a fast-paced law firm environment. The ideal candidate will handle high-volume and complex invoices, coordinate with attorneys and clients, and maintain accurate billing data in third-party e-billing systems. Prior experience with Elite (3E) and law firm billing is required. This role reports directly to the Billing Supervisor and CFO.

Key Responsibilities:

  • Prepare, review, and verify the accuracy of monthly client invoices (e-bills and PDFs), managing high-volume billing efficiently.
  • Execute complex billing tasks including multiple discounts by matter, split-party billing, alternative fee arrangements, and other billing variations.
  • Maintain accounts and invoices in third-party e-billing systems, including managing short pays, invoice rejections, appeals, budget requirements, status updates, and accruals.
  • Update billing rates and arrangements, and propose new billing formats or templates as needed.
  • Respond to billing inquiries, research issues, and resolve billing problems.
  • Develop billing schedules and analyses as required.
  • Adhere to firm billing policies and procedures, including write-off policies.
  • Communicate effectively with attorneys, staff, and clients while maintaining strict confidentiality.
  • Assist with special projects as assigned.

Requirements:

  • Minimum of five years of hands-on law firm billing experience.
  • Experience with 3E and eBilling Hub preferred.
  • Proficiency in MS Office, especially Excel.
  • Strong attention to detail and ability to multitask.
  • Ability to prioritize, organize workflow, and work efficiently in a fast-paced environment.
  • Capable of following through on tasks independently with minimal supervision.
  • Flexible with work hours and occasional overtime to meet client deadlines.
  • Excellent oral and written communication, analytical, and problem-solving skills.

Work Environment:

  • Hybrid work model requiring at least three days in-office per week.
  • Some travel may be required for training and meetings.
