We are seeking dedicated Intake Specialists to join our team, contributing to timely and accurate data entry, patient communication, and coordination with referral sources. This role supports smooth operations by utilizing key databases and technology to manage patient information effectively.
Key Responsibilities:
- Accurately enter referrals within established timeframes, meeting productivity and quality standards
- Communicate with referral sources, physicians, and staff to ensure proper documentation
- Coordinate with leadership to provide appropriate inventory and services
- Communicate financial responsibilities to patients, collect payments, and update records
- Review medical records for compliance prior to service delivery
- Follow company protocols for shipping and delivery of services
- Answer calls and assist patients efficiently
- Maintain expertise in payer guidelines and determine eligibility for equipment and services
- Collaborate with sales and insurance verification teams to ensure accurate information and service delivery
- Assume on-call responsibilities as required
Lead Specialist Responsibilities:
- Supervise and mentor team members, providing guidance in complex cases
- Conduct training sessions and onboarding programs for new hires
- Monitor team performance metrics, offering feedback and coaching
- Act as primary escalation point for complex customer or compliance issues
- Develop process improvements and optimize workflows
- Coordinate staffing, scheduling, and resource allocation
- Maintain advanced knowledge of Medicare guidelines, payer policies, and regulatory changes
- Prepare performance and operational reports for management review
- Ensure patient confidentiality and HIPAA compliance
Skills & Competencies:
- Strong interpersonal skills to interact effectively with patients, staff, and referral sources
- Analytical, decision-making, and problem-solving abilities with attention to detail
- Excellent verbal, written, and customer service communication
- Proficiency with Microsoft Office and other healthcare software applications
- Ability to prioritize tasks and manage multiple responsibilities independently
- Technical aptitude for navigating data systems and EMR platforms
Education & Experience Requirements:
- High School Diploma required; Associate’s degree preferred
- Entry Level: 1 year work-related experience
- Senior Level: 1 year work-related experience plus 2 years relevant healthcare experience
- Lead Level: 1 year work-related experience plus 4 years relevant healthcare experience
Work Environment & Physical Demands:
- Primarily seated at computer workstations with occasional standing, bending, and lifting up to 10 pounds
- Professional office environment with variable stress levels
- Proficiency in computer systems, payer portals, and healthcare software
- Ability to manage confidential patient and insurance information with discretion
