About the Role:
The Healthcare Scheduler plays a critical role in coordinating patient appointments across multiple departments and facilities. This position involves handling a high volume of inbound calls, managing complex scheduling systems, and ensuring patients receive accurate information and a seamless scheduling experience. You will serve as a key point of contact between patients, providers, and internal clinical teams.
Key Responsibilities:
- Answer high-volume inbound calls and schedule, reschedule, or cancel patient appointments as required
- Coordinate appointments by aligning patient needs with physician availability, facility resources, referrals, authorizations, and insurance requirements
- Navigate multiple electronic medical record and scheduling systems simultaneously while maintaining accuracy and efficiency
- Collect and verify patient demographics, insurance details, authorizations, referrals, and required documentation
- Provide patients with clear instructions for exams and procedures, including pre- and post-appointment guidance
- Confirm appointment details, locations, directions, and payment expectations to ensure transparency and avoid surprises
- Communicate professionally through phone, chat, email, and digital messaging platforms to deliver an empathetic and solution-focused experience
- Identify alternative scheduling options when preferred times are unavailable while adhering to clinical and safety protocols
- Scan, label, store, and manage medical documents and physician orders in document imaging systems
- Support inbound and outbound communication across multiple facilities and departments
- Assist with cross-training and support additional scheduling departments when business needs require
Work Environment & Schedule:
- Full-time shifts range between 6:00 AM and 7:00 PM, Monday through Friday
- Some departments may require a Saturday shift from 8:00 AM to 1:00 PM
- Training is conducted remotely, typically Monday through Friday from 8:00 AM to 4:30 PM (schedule may vary)
- Equipment is provided; camera usage is required during training and meetings
- A distraction-free home workspace with a hardwired internet connection is required
- This is a structured call center role with fixed schedules and limited flexibility
Minimum Qualifications:
- High school diploma or GED, or equivalent working knowledge
- At least one year of customer service or healthcare-related experience in a medical office, clinic, hospital, or call center environment
- Ability to handle high call volumes while maintaining professionalism and accuracy
- Strong computer, typing, and multitasking skills with the ability to manage multiple systems and windows
- Excellent communication, organizational, and time-management skills
- Ability to follow written and verbal instructions and meet productivity standards
Preferred Qualifications:
- Experience in an inbound call center or medical scheduling environment
- Familiarity with medical terminology and healthcare workflows
- Knowledge of insurance processes, payor contracts, and authorization procedures
Compensation:
The estimated hourly pay range for this position is $19.06 to $28.60, based on location, education, and experience, in accordance with state pay transparency regulations.
