We are hiring a highly organized and detail-focused Funding Specialist Administrator to join the Title Operations team in Dallas. This role plays a critical part in supporting title processing and title release activities through accurate administrative execution, coordination, and follow-through. The position is ideal for someone who thrives in a fast-paced operational environment and understands that precision and accountability directly impact customer outcomes.
The successful candidate will support payment posting, document intake, title verification, case management, and daily office operations while interacting with sensitive customer information and third-party institutions.
Administrative & Payment Processing:
- Accurately post and reconcile payment checks to the correct customer accounts
- Maintain detailed documentation, including check logs, payment records, and case notes
- Assist with assigned banking-related administrative tasks such as deposits
Mail, Document Intake & Outbound Shipping:
- Collect and organize PO box mail daily, ensuring prompt routing of title-related items
- Prepare and ship title packets and outbound documents in line with required standards
- Scan, upload, label, and file documents to maintain clear and searchable records
Errands & External Office Support:
- Complete DMV, post office, and other operational errands to support title processing
- Track drop-offs, receipts, confirmations, and turnaround timelines for accountability
Title Verification & Administrative Support:
- Review incoming titles and supporting documents for completeness and accuracy
- Assist with lien placement administration, duplicate title requests, and rejected DMV submissions
- Support state-to-state title transfers by preparing documentation and tracking next steps
Phone, Inbox & Case Management:
- Handle inbound calls and voicemails for the Title Operations queue with timely follow-up
- Create, update, and manage cases in CRM or case management systems
- Communicate with customers and third parties to resolve documentation gaps or discrepancies
Office Organization & Team Support:
- Maintain organized filing systems, scanning stations, mail areas, and shared workspaces
- Order and manage office and mailing supplies required for daily operations
- Support team coordination, scheduling, and internal operational needs as assigned
Issue Resolution & Escalation:
- Identify administrative blockers that may delay title releases and drive resolution
- Escalate complex or high-risk cases to leadership while maintaining ownership
Required Skills & Qualifications:
- Strong attention to detail, particularly with payments and document handling
- Excellent organizational and time-management skills
- Clear and professional communication across phone, email, and internal systems
- Comfort handling operational tasks such as mail, scanning, filing, and errands
- Proficiency with office tools, spreadsheets, and CRM or case management platforms
- Willingness to learn DMV-related processes and adapt to changing requirements
