Position Focus

Reporting to the Financial Manager for Integrated Business Operations, this role involves a dual focus on transactional processes and compliance-related tasks. The successful candidate will support various multi-step, complex financial transactions and ensure adherence to relevant compliance standards across the department.

The Financial Assistant will collaborate closely with the Financial Analyst 1 to support compliance duties within the Psychiatry, Child Study Center, and Pediatrics IBO. This will encompass study subject spend authorization setup and maintenance activities, communication with faculty & staff about Sponsored Identities that need action taken, data entry in the Yale School of Medicine’s space database (AssetWorks), quarterly communication about outstanding Workday Learning requirements, and maintaining labor plans within Yale’s YBT tool.

The Financial Assistant will also serve as a member of the Psychiatry and Child Study Center’s integrated Transaction Team. Key responsibilities include providing business process support for complex transactions such as expense reports, reimbursements, supplier invoices, purchase requisitions, vendor set-ups, purchase orders, journal entries, payroll accounting adjustments, professional service agreements, cash sales and cash advances. This role involves researching and resolving erroneous transactions and questionable expenditures, as well as executing clerical functions related to financial and administrative activities. The Financial Assistant may also perform additional tasks as assigned by the Financial Manager.

Essential Duties

  • Drafts preliminary financial sections of proposals.
  • Reviews all proposals for accuracy, completeness, and compliance to grantor and University requirements and regulations.
  • Monitors, controls, and maintains financial activity of accounts. Ensures expenditures are posted to proper accounts. Identifies, researches, and corrects questionable expenditures.
  • Serves as the principal source of information on financial policies and procedures and financial activity.
  • Reconciles and analyzes financial statements. Prepares standardized and specialized financial reports and analyses.
  • Oversees and instructs support staff.
  • Oversees the maintenance of financial records and files.
  • Assists with the development and implementation of systems and procedures.
  • May calculate weekly payroll for department staff.
  • Performs clerical functions incidental to accounting activities.

Required Education And Experience

Six years of related work experience, four of them in the same job family at the next lower level, and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.

Proven ability to comprehend, manage, and follow through on complex multi-step transactions and processes. Exceptional analytical, organizational, and problem-solving skills.

Required Skill/Ability

  • Proficiency in Microsoft Excel, including demonstrated ability to manipulate data and develop financial reports within spreadsheets.
  • Excellent customer service, written and verbal communication skills, with a strong capacity for handling sensitive information confidentially.
  • Highly motivated and proactive self-starter with a proven track record of demonstrating initiative, meticulous attention to detail, and exceptional accuracy.
  • Demonstrated capability to efficiently manage multiple tasks, simultaneously maintain focus amid frequent interruptions, and autonomously prioritize work to adhere to deadlines.

Preferred Education, Experience And Skills

Six years of related work experience, four of them in the same job family at the next lower level, and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.
