Description:
Carbon Zero Buildings is seeking a highly skilled Finance & Operations Manager to take ownership of the company’s financial and operational systems. This fully remote role involves partnering with principals and external consultants to implement, improve, and manage accounting and operational processes across both project and corporate levels. The position does not have direct reports, focusing instead on system leadership and process optimization.
Key Responsibilities:
Systems & Process Leadership (~50%):
• Act as primary owner and champion of the company’s financial systems, collaborating with principals, team members, and external consultants for effective implementation.
• Lead hands-on migration from Zoho Books to new platforms, ensuring data integrity and smooth transition.
• Implement and manage robust payment processing platforms (e.g., Ramp, QuickBooks Bill Pay) to streamline vendor and subcontractor payments.
• Develop and maintain vendor management processes, including onboarding and insurance compliance.
• Systematize preparation and submission of specialized payment applications for clean energy incentive programs (~196 annually).
• Manage subcontractor pay applications and vendor invoices (~850 annually), ensuring proper approvals, coding, and compliance.
• Collaborate with principals to develop and document internal controls and financial processes for efficiency and accuracy.
Project Accounting Oversight (~30%):
• Oversee all project accounting functions, ensuring accurate financial data capture and reporting.
• Manage accounts receivable: generate invoices, send, and follow up on payments.
• Ensure compliance with customer vendor management platforms.
• Collaborate with Project Managers to provide financial support and ensure project financial success.
Corporate Financial Stewardship (~10%):
• Take ownership of full-cycle corporate accounting, including general ledger, quarter-end/year-end close, and preparation of P&L, Balance Sheet, and Cash Flow statements.
• Provide strategic financial analysis and reporting to principals for high-level decision-making.
• Manage credit card, banking, and benefits/retirement processes.
Compliance & Administration (~10%):
• Manage monthly payroll process and related compliance via HR platform, Gusto.
• Oversee expense management system and subcontractor compliance (lien waivers, insurance).
Qualifications & Attributes:
• Bachelor’s degree in Accounting, Finance, or related field; CPA or MBA preferred.
• 7+ years of progressive experience in accounting and finance with demonstrated system ownership and process improvement.
• Expertise in full-cycle corporate accounting, financial modeling, and analysis.
• Proficiency with bookkeeping software (QuickBooks preferred), task management platforms, and ERPs; experience creating workflows with dependencies is essential.
• Highly autonomous, detail-oriented, strong communicator, and mission-aligned.
• Thrives on designing, owning, and improving financial processes.
• Capable of operating independently without direct reports in a dynamic, small-company environment.
