Description:
Tential Solutions is seeking a proactive Facilities Coordinator to support site operations at our Boca Raton location. The successful candidate will help keep the workplace running smoothly by managing deliveries, coordinating vendors and contractors, overseeing safety and supplies, and handling facility requests from staff. This role requires strong organizational ability, clear communication, and the capacity to manage multiple tasks in a busy office environment.

Duties/Responsibilities:

  • Receive, sort, and distribute incoming mail and internal deliveries.
  • Act as the liaison between employees and external contractors to resolve specialized facility issues.
  • Ensure safety standards and building procedures are followed throughout the site.
  • Maintain inventory of supplies and place re-orders as required to avoid shortages.
  • Receive, enter, and track work order requests; follow up to ensure timely resolution.
  • Inspect and report office issues (for example: leaks, lighting faults, HVAC concerns) and coordinate repairs.
  • Greet vendors and contractors on-site and facilitate access for repairs or maintenance.
  • Support staff with “hoteling” and workspace reservations using Condeco scheduling software.

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) or equivalent software for creating and maintaining reports and logs.
  • Strong organizational skills with keen attention to detail.
  • Ability to perform effectively in a fast-paced environment and prioritize tasks.
  • Customer-service oriented, responsive, and able to coordinate with multiple teams.
