Description:
CBRE is seeking a dedicated Facilities Associate to support facilities management operations across multiple retail banking locations in Florida. The role involves managing vendor relationships, overseeing work orders, maintaining team PTO calendars, and ensuring operational excellence across all facilities. The associate will coordinate with vendors, clients, and internal teams to optimize service delivery and compliance with company standards.

Key Responsibilities:

  • Manage vendor relationships, ensuring adherence to service standards and compliance
  • Oversee work order management and coordinate with FM teams including Technicians, Facility Managers, Building Engineers, and Regional Facility Managers
  • Input vendor information into CMMS and provide necessary training
  • Utilize CMMS software extensively for operational tracking and reporting
  • Process invoices and maintain accurate records
  • Handle administrative duties including team PTO calendar management
  • Act as client-facing representative for facilities-related inquiries
  • Serve as point of contact for escalated communications between landlords, tenants, and service providers
  • Allocate work orders and schedule repairs from requests
  • Review work order reports and present performance and progress reports to management
  • Verify accuracy of vendor-submitted proposals, work orders, and other documents
  • Inspect rooms and furniture for repair or renovation needs
  • Fix minor malfunctions in office equipment and research new services or appliances
  • Analyze data to identify and solve complex operational problems
  • Suggest process improvements to enhance team efficiency

Required Skills & Qualifications:

  • Must reside in Florida
  • High School Diploma or GED with 3-4 years of relevant experience
  • Strong understanding of processes, procedures, and systems within facilities management
  • Ability to evaluate and communicate complex content clearly and logically
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.)
  • Advanced organizational and analytical skills with strong problem-solving abilities
  • Ability to calculate percentages, discounts, and markups accurately
  • Must be authorized to work in the United States without visa sponsorship
