Description:

NYC Health + Hospitals, through Woodhull Medical and Mental Health Center, is seeking a highly organized and professional Executive Secretary to provide advanced administrative and executive-level support. This role requires a detail-oriented professional capable of managing confidential information, coordinating executive schedules, and supporting senior leadership in day-to-day administrative operations. Key Responsibilities:

• Provide high-level administrative support to executive and senior leadership teams.

• Draft, edit, and manage confidential correspondence, reports, and official communications.

• Handle incoming calls, emails, and mail distribution while prioritizing urgent matters.

• Maintain secure handling of sensitive documents, records, and executive files.

• Serve as a key communication point between internal departments and external stakeholders.

• Coordinate business travel arrangements, itineraries, and expense reimbursements.

• Process invoices, petty cash requests, and administrative financial documentation.

• Assist in planning meetings, events, and executive-level engagements.

• Supervise or support junior clerical staff when required.

• Ensure compliance with organizational policies and administrative procedures.

Requirements:

• Associate’s degree in Secretarial Science, Office Administration, Business Administration, or related field preferred.

• High School Diploma with 3+ years of relevant executive administrative experience accepted.

• Strong organizational and multitasking abilities.

• Excellent written and verbal communication skills.

• Ability to manage confidential information with discretion.
