We’re Hiring | Executive Assistant to the CEO

An exceptional opportunity is available for a highly organized, proactive, and detail-driven Executive Assistant to work directly with the CEO. This role is designed for a trusted partner who can manage complexity, anticipate needs, and ensure seamless operations across professional and personal priorities. The ideal candidate thrives in fast-moving environments, exercises high discretion, and brings structure and calm to demanding schedules.

You will be supporting an experienced post-exit serial founder leading multiple high-impact initiatives focused on health and longevity, education, robotics, and human flourishing. Compensation is closely aligned with the CEO’s package, offering the opportunity to share in the upside of long-term, mission-driven projects.

Executive Support Responsibilities:


• Manage the CEO’s calendar, meetings, scheduling, and travel arrangements
• Anticipate priorities, streamline workflows, and handle inbox and communications
• Prepare research, briefing documents, and materials for meetings and strategic initiatives
• Oversee personal logistics and household-related coordination with full discretion

Operations & Administration:


• Maintain and continuously improve internal systems for documentation and communication
• Manage company subscriptions, tools, and software renewals
• Coordinate vendor relationships, reimbursements, and billing activities

Finance & HR Coordination:


• Support budgeting, expense tracking, and financial reporting processes
• Liaise with accountants for financial statements and tax-related matters
• Assist with employee onboarding, offboarding, benefits administration, and HR records
• Help organize team retreats and initiatives that support company culture

Customer & Partner Support:


• Act as a point of contact for customer and partner communications
• Coordinate with internal teams to resolve issues and improve feedback processes

Special Projects:


• Conduct research and manage ad hoc projects, events, and initiatives
• Assist with fundraising materials, investor coordination, and operational projects

Personal Support & Lifestyle Management:


• Manage the CEO’s personal calendar to align professional and personal commitments
• Oversee household operations, property coordination, and vendor management
• Handle personal administrative and financial tasks with complete confidentiality
• Plan personal travel, events, itineraries, and logistics
• Source gifts, essentials, and travel-related items as needed
• Maintain accurate records for insurance, memberships, and subscriptions
• Proactively optimize the CEO’s daily life to enable focus, balance, and effectiveness

Qualifications:


• 3+ years of experience in executive support, operations, or chief-of-staff–type roles
• Proven experience supporting C-level executives or founders in fast-paced settings
• Strong project management and systems-thinking capabilities
• Excellent written and verbal communication with exceptional attention to detail
• Ability to write and edit communications in the CEO’s voice over time
• High emotional intelligence, sound judgment, and absolute discretion
• Comfortable working remotely across multiple time zones

Technical Skills:


• Proficiency with Google Workspace, Notion, Asana, Slack, and Zoom
• Familiarity with HR and finance tools such as Gusto, QuickBooks, Brex, or Carta
• Advanced Excel or Google Sheets skills
• Ability to quickly learn, adapt, and optimize new tools and systems
