Description:

VTS is seeking a highly organized and proactive Executive Assistant to support senior executives and help manage their day-to-day operations. This role requires exceptional attention to detail, professionalism, discretion, and the ability to anticipate executive needs in a fast-paced environment.

The successful candidate will provide administrative and operational support to the Chief Product Officer and Chief Technology Officer, managing calendars, travel arrangements, communications, meetings, and executive priorities. This position requires strong collaboration skills and the ability to work closely with multiple teams while maintaining confidentiality.

Key Responsibilities:

• Provide administrative support to senior executives, including the Chief Product Officer and Chief Technology Officer.

• Manage complex calendars, meetings, priorities, and executive schedules.

• Coordinate executive communications and ensure timely follow-ups.

• Prepare meeting agendas, collect materials, and support executive preparation.

• Track action items, deadlines, and deliverables to ensure completion.

• Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.

• Prepare and submit accurate expense reports with supporting documentation.

• Support company events, team gatherings, offsites, and employee engagement initiatives.

• Collaborate with People Operations and other departments on office and event management activities.

• Assist in removing administrative and operational challenges through effective coordination.

Requirements:

• Highly organized with the ability to manage multiple priorities in a fast-paced environment.

• Strong attention to detail with excellent follow-through skills.

• Ability to handle confidential information with professionalism and discretion.

• Experience supporting senior executives as a trusted administrative partner.

• Excellent communication and stakeholder management skills.

• Proficiency in Google Workspace, including Gmail, Calendar, Docs, and Sheets.

• Ability to work from the New York office Monday through Friday.
